OpenGov’s Jr. Executive Assistant/Scheduler to the CEO is a critical role in our fastgrowth organization. You’ll partner with the lead Assistant and help manage a complex and ever changing calendar while providing highlevel and confidential administrative support. The ideal candidate adapts well to a fastpaced entrepreneurial environment, demonstrates flexibility as timelines and priorities change and provides a high degree of attention and responsiveness to the needs of the CEO. Reliability, consistency, resourcefulness, and grit are necessary attributes to succeed in this role.
Responsibilities are, but not limited to:
Work closely with the lead Assistant on a day to day basis
Help manage aspects of the CEO’s daily schedule and activities:Schedule meetings and appointments
Plan and execute travel plans and itineraries
Maintenance of a complex and ever changing calendar
Resolving conflicts in a professional manner
Establish trust by handling sensitive matters with the utmost discretion
Additional administrative tasks, such as but not limited to:Help plan and execute meetings, events, and special projects
Tracking expenses and follow company guidelines to report and file appropriately
Help research and analyze materials for presentations on behalf of the CEO
Complete ad hoc assignments and projects on behalf of the lead Assistant and/or CEO in a timely manner
Qualifications:
1+ years of experience as an Administrative Assistant in a fastpaced organization, ideally with experience supporting a C level executive
Sharp, proactive, organized, detail oriented, resourceful, and dependable
Thick skinned with the ability to roll with the punches and reset after a bad dayAbility to keep things in perspective
Ability to say “No” when appropriate
Ability to “read the room” and choose your moments wisely
A good sense of humor
No task too small mentality
Not afraid to ask questions
Energetic, adaptable, and capable of turning around tasks quickly and efficiently
Ability to multitask and prioritize in a fastpaced environment
Able to work as part of a team or independently
Able to work under pressure with a keen awareness of time and deadlines
Strong research skills with the ability to provide a succinct but comprehensive report
Technically savvy: GSuite Apps, Office Suite Apps, calendaring skills, and ability to learn new concepts quickly
High EQ with the willingness to learn, and orientation to exceed objectives, and take on more responsibility as needed
BA/BS degree, or equivalent experience
